BizTrip Terms and Conditions

 

Any reservation will be considered confirmed once the payment of the estimated rental deposit has been successfully processed.

The cancellation policy applicable to each reservation will correspond to the channel or website through which the booking was made.

Stays over 30 nights

The payment corresponding to the booking deposit, security deposit, final cleaning fee, and service fee must be completed at least 48 hours before the arrival date.

Payment may be made by bank transfer under the terms previously agreed in writing with a monthly reservations agent. No reservation will be confirmed until full payment has been received in the bank account provided by the agency. Any bank transfer fees will be borne by the customer.

The deposit payment is non-refundable unless otherwise agreed in writing as part of a specific cancellation policy at the time of booking.

The guest will receive a breakdown of all payments due during the stay, including scheduled payment dates. Failure to make payments on the agreed dates may result in contract termination and the guest being required to vacate the apartment in good condition.


Stays under 30 nights

The booking deposit must be paid by credit or debit card through the secure payment platform on the website.

The deposit is non-refundable unless otherwise stated in a specific cancellation policy at the time of booking.

Seven days prior to the check-in date, the remaining rental balance plus the security deposit will be charged to the card used for the reservation. This transaction must be authorised by the customer in accordance with European Union regulations. If the charge is declined or not authorised, the reservation will be automatically cancelled without refund.

Cancellations made less than 7 days before check-in will incur a charge of 50% of the reservation.

If the guest changes dates or apartment, it will be considered a new booking and subject to the applicable cancellation policy.

If the guest cancels while staying in the apartment, the full amount of the reservation will be charged.

A reservation will not be considered cancelled unless written notification is received via email from the booking holder.

No-shows will result in a 100% charge of the reservation.

For bookings made within 7 days prior to arrival, 100% of the reservation will be charged.

Cancellation policies applied are always those specified by the booking channel or website.

For “Non-Refundable” bookings, BizTrip/MitHouse is not obliged to issue any refund under any circumstance, including but not limited to flight delays, transport issues, visa problems, illness, accidents, death, weather conditions, or natural disasters.


PAYMENT AND BOOKING CONFIRMATION

Stays over 30 nights

Payment breakdowns will be provided in writing prior to booking confirmation and will depend on the duration of the stay.

Stays under 30 nights

Payment details (completed and pending) will be included in the booking confirmation email.

Access to the apartment will only be granted once all payments, including the security deposit, have been fully completed. BizTrip/MitHouse is not responsible for delays in access due to unpaid amounts.


SECURITY DEPOSIT

Stays over 30 nights

The security deposit will be determined in writing by a monthly reservations agent prior to booking and may range from half a month to two months of the monthly rental amount.

In case of damage caused by misuse, the agency will issue a written report and deduct the repair and/or replacement costs from the deposit, which may be blocked until final resolution. If the deposit is insufficient, the guest agrees to immediately cover the remaining costs upon accepting these terms.


Stays under 30 nights

Before arrival, a refundable security deposit between €200 and €400 will be required depending on the apartment type. This will be processed as a credit card pre-authorisation and will never be accepted in cash.

By accepting these Terms and Conditions, the tenant agrees that any damage caused by them or their companions will be deducted from the deposit and they will remain responsible for any amount exceeding the deposit value.

The deposit will be charged and held by the agency and refunded to the same credit card within a maximum of 7 days after check-out, once the property has been inspected.

In case of damage, the agency will issue a written report and deduct repair and/or replacement costs from the deposit. If the deposit is insufficient, the guest agrees to cover the remaining amount immediately.


CHECK-IN AND ARRIVAL

Before arrival, the guest will receive the exact apartment address, office details, contact information, payment breakdown, and specific check-in/check-out instructions. These may vary depending on arrival time or apartment type.

To streamline the check-in process and comply with public safety regulations, all guests must complete online check-in prior to arrival via a secure web platform accessible from any internet-enabled device.

During registration, legally required data will be collected via the reading or manual entry of the MRZ (machine-readable zone) of the identity document, without requiring document images. All data will be processed in accordance with GDPR regulations. A guest code received by email will be required to complete the process.

BizTrip/MitHouse is not responsible for delays caused by failure to complete the online check-in in advance.

Most apartments are equipped with digital locks, allowing access via the same secure platform used for check-in. Guests are encouraged to register individually to access the property from their own devices.

For apartments without digital locks, online check-in is still mandatory. Guests must also contact the agency at least 30 minutes before arrival to arrange key collection. Failure to do so may result in waiting time upon arrival.

In-person check-in is available between 3:00 PM and 2:00 AM. Arrivals after 9:00 PM in apartments requiring staff assistance are subject to a €70 late check-in fee, payable in cash upon arrival.

The official check-in time is from 3:00 PM onwards. For same-day bookings, check-in may be available from 7:00 PM onwards.

Access to the property is only permitted once all payments, including the security deposit, have been completed.

Guests must keep their arrival time updated and inform the agency of any delays. For coordination purposes, check-in staff may contact guests prior to arrival by phone or email.

CHECK-OUT AND DEPARTURE

Check-out must be completed by 11:00 AM. Any unauthorised late departure may be subject to penalties.

Late check-out requests must be made at least 24 hours in advance and are subject to availability. If approved, the stay may be extended until 6:00 PM for an additional charge equal to 50% of the nightly rate. Departures after 6:00 PM will be charged as a full additional day.

The guest must leave the apartment in good condition. Local regulations prohibit daytime garbage disposal. Guests must dispose of waste each night according to building rules provided at check-in. Leaving more than one bag of rubbish inside the apartment will result in a €50 penalty.

BizTrip/MitHouse is not responsible for any personal belongings left in the apartment.


APPLIANCE / APP USAGE

Use of the BizTrip/MitHouse application is subject to the privacy policy.


CLEANING

BizTrip/MitHouse provides the apartment clean and equipped with bed linen and towels according to occupancy. Additional items may incur extra charges.

Guests must leave the apartment in perfect condition, properly disposing of rubbish and leaving the space tidy. Leaving more than two bags of rubbish may result in a €50 penalty.


GUEST OBLIGATIONS

The booking holder and all occupants must identify themselves in accordance with applicable public safety regulations. Data will be shared with authorities as required by law.

To ensure compliance and facilitate access, all guests must complete the online registration process before arrival via a secure system. MRZ data will be required without document images, and all information will be processed under GDPR regulations.

The check-in must be completed by the booking holder. If the holder cannot be present, written authorisation must be provided in advance including identity details of the authorised person responsible for payment and registration.

Pets are only allowed with prior written authorisation.

Guests must allow authorised staff access in case of maintenance, emergencies, or building-related issues. Refusal of access may result in liability for damages.

Any breach of these obligations may result in immediate eviction without compensation.


HOUSE RULES

Loud music and parties are strictly prohibited. Failure to comply may result in immediate loss of the security deposit.

Quiet hours are from 10:00 PM to 10:00 AM. Noise monitoring systems may be in place, and alerts must be respected. Failure to comply may result in eviction without refund.

Smoking inside the apartment is strictly prohibited and will result in loss of the security deposit.

Commercial events, photo shoots, or filming are not permitted without prior written authorisation.

By booking and completing online check-in, guests fully accept these terms and conditions.

Neither BizTrip/MitHouse nor the property owner shall be liable for any direct or indirect damages arising from the use of the apartment, including theft, accidents, fire, or criminal acts.


APPLICABLE LAW AND JURISDICTION

These Terms and Conditions are governed by Spanish law. Both parties expressly waive any other jurisdiction and agree to submit to the Courts of Madrid (Spain).
